This site is run by Willow River Automation. The goal here is to be clear about what gets collected and where it goes, without a wall of jargon.

Contact form and email

When you submit the contact form, I receive your name, email, and message so I can reply. The form is processed by a small serverless function on the hosting provider (Netlify), and a copy may be sent to an internal Slack channel I use for leads. Provider side logs may exist for reliability and abuse prevention. I do not sell that data or use it for unrelated marketing. If you email willowriverautomation@gmail.com directly, your message is handled like normal email (provider logs may apply on both sides).

Payments

Invoice payments go through Stripe on their hosted pages. I do not handle card numbers on this website. Stripe’s privacy policy applies to what you enter there.

Hosting and logs

Like any site, hosting providers and infrastructure may keep access logs (IP address, browser type, time of request). I use that for security and debugging, not for profiling.

Fonts

This site loads IBM Plex Sans from Google Fonts. Google may receive technical data such as your IP address as part of serving that font.

Analytics and cookies

This site uses PostHog for optional analytics: page views, basic usage patterns, and error reporting. PostHog loads only after you accept analytics cookies in the banner. PostHog may set cookies or use local storage for session tracking. No ad networks.

Intake Relay (product API)

If you sign up for Intake Relay or submit data through a customer’s intake flow, structured submission fields are stored in a PostgreSQL database operated for the service. We also store submission metadata such as IP address, User-Agent, and embed SDK version for abuse prevention and support. Optional file attachments (when a flow includes file fields) are stored in Google Cloud Storage in the United States, scoped to the customer organization that owns the flow, not mixed with other tenants’ files. File uploads are available on paid plans (Starter and above), not on the free tier.

Intake Relay is built for operational intake, not indefinite archiving. Uploaded files are automatically deleted after 60 days. Submission metadata in the database may be retained longer according to the customer’s plan and account status; customers are responsible for exporting data they need to keep (for example via webhooks into their own systems). Standard uploads are limited to 10 MB per file. Scale plan customers may request higher per file limits (for example video) by contacting us; any increase is subject to separate pricing and manual configuration. I do not sell intake submission content or use it for advertising.

Intake Relay customers (developers who embed the API) act as controllers for their end users’ intake data; Willow River Automation processes that data to provide the service. Business customers should review our DPA and Subprocessors list. If you are an end user of a third party app using Intake Relay, contact that app’s operator for privacy questions about your submission.

California privacy rights

We do not sell or share personal information for cross context behavioral advertising. California residents may request to know, delete, or correct personal information we hold about them by contacting willowriverautomation@gmail.com. We will respond within 45 days.
